Key Responsibilities

·         To support HOD in the smooth functioning of his office and extending support to calendar, travel & mail management, MIS, Document control, PR/PO etc.

·         Administration activities of the CCO’s office, maintaining calendar plan, scheduling and fixing meetings etc.

·         Facilitation for admin/travel requirements for the Head-ALD office.

·         Coordinate for preparation of PR/PO, etc.

·         Verify & Reconcile expenditure statements and present them for approval.

·         Mail management and response of HOD. Tracking of action items and completion as per deadline. Ability to handle independent communication (formal/mail) on behalf of Head-ALD Respond to queries and requests from both internal and external customers in a professional manner.

·         Personal Assistance to HOD such as clearance of bills, paperwork, travel etc.

·         Facilitation for Board Meetings / Minutes of the meeting preparation/ Client meetings

·         Attend meetings and prepare summary reports and follow up points.

·         Coordinating of Employee Engagement initiatives such as P-Touch, R&R, fun @ work #etc as well supporting other initiatives of EE and working towards improving the teams

·         Preparation of department MIS Reports/presentations for Internal/External meetings.

·         Gathering & Collation of Data, prepare reports

·         Maintaining Files / Performance reports/ confidential reports/ Leave records/ Letters etc both electronically and in physical form.

·         Manage all documentation for department ( Regulatory/technical/business correspondence, minutes of the business related meetings and follow up, legal agreements) generated by company and by subcontractors

·         Provide support in preparation of Management review presentations


Req. Industry Exposure

·         Up to 5 years or more of relevant experience

·         Secretarial experience in Senior Leadership office

Req. Competencies

 Excellent Written & Verbal Business communication & interpersonal skills are essential

Excellent Computer literacy skills & proficiency in MS Office, especially in Word, Excel, Powerpoint, Outlook
